Company sports day jersey order checklist

How to turn one model, one colour and everyone's sizes, names and numbers into a single signed off list before you ask for a quote.

This is a planning checklist for the person organising a company or team jersey order in Singapore. It is not a package, price or timeline: the garment, print method, price, the quantities we can accept and the timing are confirmed for your specific order when we quote.

1. Start from the date the jerseys must arrive

Write down two dates: the sports day itself, and the earlier date the jerseys need to be with you, so there is time to hand them out and sort any size swaps inside the team. Give us the arrival date in your first message and ask us to confirm it can be met before you start collecting sizes.

2. Fix one model and colour before collecting sizes

A size only means something against one garment. Choose the model, cut and colour first, then share that model's own size chart with the form you send to staff. Never copy a size from a different model: an L on one cut is not the same as an L on another.

Our drifit and sportswear page compares the listed drifit models; the ladies cutting and long sleeve versions are separate models with their own listed sizes. The QD04 chart is on our size charts page; for any other model, ask us for its measurements before you collect sizes.

3. Separate shared prints from individual prints

  • Shared on every jersey: the company logo, event name or sponsor marks on the front, back or sleeves. Describe each position once, with a rough width.
  • Different on each jersey: a printed name, a number, or both. These belong in the roster, one row per jersey.

Decide whether everyone gets a name, a number, both or neither, and note any exceptions. Our printing methods page lists vinyl for jersey names and numbers, and dye sublimation for all over prints on drifit. Which method suits your jerseys depends on the garment and the artwork, so we confirm it when we quote.

4. Keep one master roster

  • One row per jersey, each with a row reference such as R001 that never changes, even when the list is sorted or someone drops out.
  • For each row: the model, colour, size from that model's chart, quantity, printed name, printed number, print positions and artwork file reference.
  • Type the printed text exactly as it should appear, including capitals, spaces and nicknames.
  • Format the number column as text so a number such as 07 keeps its leading zero.
  • Collect only what is printed or needed to count. Leave out NRIC numbers, addresses and phone numbers, and keep the file with the organiser, not in a public group chat.

Blank company jersey order sheet

This is the same blank sheet as our class T-shirt guide, with one row per garment and columns for row reference, model, colour, size from that model's chart, quantity, printed name, printed number, print positions, artwork file reference and a spelling and size check. It contains no names or people.

The sheet is a planning aid. Downloading it submits nothing to Butter Prints, and filling it in does not place or confirm an order or approve anything for production. We confirm the format we need and every choice in it for your specific order when we quote.

5. Agree how changes are handled

  • Name one person who edits the roster, and set an internal cut off date for changes.
  • Save each change as a new version with a plain filename, for example company-jerseys-roster-v2.csv, and write which version is final.
  • Ask each person to confirm the exact spelling or nickname they want printed, and settle duplicate numbers or leading zeros before sign off.
  • If something changes after you send the roster, send a new version listing the changed row references, and ask us whether the change can still be made.

6. Proofread and sign off

  • Front, back and sleeve positions and rough sizes match your brief.
  • Every printed name and number matches the final roster, letter by letter.
  • Totals are counted by exact model and size, and add up to the total quantity.
  • Ladies cut or long sleeve rows are counted under their own model.
  • One named person in your company signs off the final version, and the filename says which version it is.

Two sublimated jerseys from our work

Both are past orders on our recent work board, shown for the look of the garment, not as a package or price. For more annotated photos, see our company T-shirt design examples.

Climbodachi climbing jerseys, sublimated
Climbodachi climbing jerseys, sublimated

In the photo: a dark jersey with red geometric artwork and a chest identity mark. Our board describes these as sublimated.

For your order: when artwork covers the jersey, decide where any shared logo sits before you finalise the design.

HMG singlets, all over sublimation
HMG singlets, all over sublimation

In the photo: singlets with a blue landscape and wave design, cranes, and chest initials. Our board describes these as all over sublimation.

For your order: if names or numbers go over a busy pattern, mark where they sit and ask how they will stay readable.

Send one brief

  • The date the jerseys must reach you
  • The model and colour, or each model if you need more than one
  • Each shared print position, with a rough width
  • Artwork you own or have permission to print
  • Whether jerseys carry names, numbers or both, and the final roster version
  • The total per model and size, and who in your company signs off

Send it all at once on the quote form or WhatsApp, and we confirm the method and price per piece.

Jersey order FAQ

Organising company jerseys

roster ready?

Send the model, positions, artwork and your final roster version. Compare models on drifit and sportswear.

Ask on WhatsApp Quote form
How early should we start ordering company sports day jerseys?

Work back from the date the jerseys must reach you, not the event date, and ask us to confirm that date before you collect sizes. Timing is confirmed for your specific order when we quote.

Can each jersey carry a different name and number?

Yes. Our quote form asks whether each shirt carries an individual name, a number or both. Send the full list with sizes; names and numbers are quoted as part of the customisation, not included in the blank price.

What personal details should we collect from staff?

Only what you need to order: the size, and the name or number if it will be printed. Leave out NRIC numbers, addresses and phone numbers, and keep the roster private to the organiser.

Can staff choose sizes from different models?

Collect each size against the chart for the model that person will wear. If some staff need a ladies cut or long sleeves, list that model as separate rows with sizes from its own chart, and ask us to confirm it in the quote.

roster signed off?

Ready to send your jersey brief?

Send the date you need the jerseys, the model and colour, the print positions, your artwork and the signed off roster, and we will quote per piece.
